Privacy Statement on the Protection of Personal Data

The following policy concerns all data gathered and processed through the European Marine Observation and Data Network (EMODnet) for Seabed Habitats thematic portal.

The gathering and processing of data through EMODnet SH operates separately from the EMODnet Central portal – please refer to the central portal Privacy Policy when navigating their site.

Data processing is managed by the EMODnet Seabed Habitats team in relation with the European Marine Observation and Data Network (EMODnet) initiative financed by the European Union under Regulation (EU) No 508/2014 of the European Parliament and of the Council of 15 May 2014 on the European Maritime and Fisheries Fund.

The Data Protection Directive (95/46/EC) and the ePrivacy directive (2002/58/EC, as revised by 2009/136/EC) are applicable. From 25 May 2018, the General Data Protection Regulation (GDPR) Regulation (EU) 2016/679) will also apply.

1. EMODnet SH as Data Owner and Processor

Certain features and functionalities of the EMODnet SH portal requires the disclosure of personal data. These are outlined in the next section.

The EMODnet SH team is recognised as the Owner and Processor of all data disclosed on the portal, which is kept confidential and is not passed on to any third party. All data that is gathered or processed by the EMODnet SH team is subject to the aforementioned GDPR regulations.

2. Services Requiring Personal Data

By entering your personal details for any of the below services, you are agreeing to the processing of this data by the EMODnet SH team. Details of activities requiring the disclosure of personal data, the purpose of collecting personal data, how long the personal data is stored and the methods by which data is stored, are all outlined below:

  • Contact Us Form – Requires the use of a name and email address for the purposes of responding to the enquiry. Questions and/or feedback are stored in a functioning Outlook mailbox to be answered by the EMODnet SH team.
  • To Helpdesk - Requires the use of a name and email address for the purposes of responding to the enquiry. For messages initiated out with office hours, the option to send a message to the EMODnet SH Outlook mailbox will be activated.
  • Visitor Tracking on website and cookies - The EMODnet Seabed Habitats portal uses cookies to enhance your user experience. A cookie is a small piece of data or message that is sent from a web server to your browser and is stored on your hard drive. A cookie is not able to read data off your hard disk or read cookie files created by other sites. Cookies do not damage your system. You can reset your browser to refuse any cookie or to alert you to when a cookie is being sent. If you choose not to accept our cookies, some of the features of our site may not work as well as we intend – such as the Map Viewer.

The EMODnet SH team will also use the data to prepare anonymous statistics about the usage of the site, including: traffic flows, visitor demographics, interests and behaviour. We do this to better understand our visitors and help inform the development and evolution of our services.

Quarterly and annual reports are prepared by the EMODnet SH team and sent to the EMODnet Secretariat and DG MARE. These reports provide anonymised user feedback on our portal and data products (data is anonymised to organisation).

3. Your Right as a Data Subject

As a data subject, you have the right to:

  • withdraw your consent at any given time (although this will not affect the lawfulness of processing based on your given consent prior withdrawal)
  • request access and review to your personal information gathered and processed by the EMODnet SH team
  • inform the EMODnet SH team of any updates or corrections to your personal details at any time
  • request the deletion of your personal information (this includes photos and videos)
  • restrict the processing of your personal information

4. How Long do we Keep Your Data?

Your personal data will be kept for five years after the completion of the EMODnet Seabed Habitats project.

5. Our Content Management System - Umbraco

The EMODnet SH website is hosted through Umbraco and managed by appointed editors from the EMODnet SH team and members from Carbon6 Digital.

Personal data shared through our content management system is held in a secure, encrypted database which is inaccessible to the team at Carbon6 Digital.

We reserve the right to update the Privacy Policy at any given time, wherever deemed necessary. Any changes to the Policy will apply to the existing information EMODnet SH holds about you and gathered/processed thereafter. Use of the site following a revision of the Privacy Policy will constitute acceptance to any new terms and conditions.
